Privacy Policy

The Rochambeau, The French International School is committed to protecting the privacy of members of its community and those who interact with the school. The school has put procedures into place that help safeguard personal information provided by members of its community, as well as individuals not directly affiliated with the school.

Use of Personal Information

The school collects personal information via a number of digital means and platforms (email, surveys, platforms, and online forms). Personal information provided to the school is not shared with non-affiliated third parties unless otherwise stated at the time of collection. When a user submits personally identifiable information, it is used only for the originally stated purpose.  Personal information that may be collected through various means includes names, email addresses, phone numbers, location and browsing data, as well as other relevant data to our school operation.  All other collected data is protected in affiliated systems and is not shared with additional parties for any reason.

Consent

In cases where consent for the use and disclosure of personal information is required, the school will seek consent from the appropriate person. In the case of a student’s personal information, the school will seek consent from the student and/or parent or guardian, depending on the circumstances and the student’s age and ability to consent to the proposed use and disclosure in. The school contracts with a variety of third-party software programs, apps, and online services that may collect personal information from students in order to provide services used by the school and its students. These services are governed by their own privacy policies. At times, students are required to register by providing personal information, such as a name, email address, and/or a student ID. Notwithstanding anything herein to the contrary, Parents authorize the School to provide consent to such collection of personal information on Parents’ behalf and to provide the student’s basic information when required to do so. These third-party apps and cloud services include, but are not limited to, Adobe Creative Suite, August Schools, Calendly, Canva, Coding.org, Desmos, Dreambox, Edpuzzle, Educreations, Epic, Explain Everything, FinalSite, Flip, Gizmos, Google Workspace, Kahoot, Meeting Timer, Nearpod, NoodleTools, Agenda Timer & Clock Countdown, Padlet, PearDeck, PowerSchool, Pixlr, Prezi, Reflex Math, Scratch Jr., Sadlier, Seesaw, SketchUp, Typing Club, Typing.com, Vex123, VexGo, Wakelet, WeVideo. Rochambeau will never post or otherwise publish confidential or protected information about its students, employees, or other community members under, but not limited to, the Family Educational Right and Privacy Act (FERPA), Protection of Pupil Rights Amendment (PPRA), and Children’s Online Privacy Protection Act (COPPA).

Cookies

A cookie is a small text file stored by a browser that allows a website to “remember” a user’s preferences such as calendar settings and site bookmarks. Use of a cookie is not linked to any personally identifiable information when a user is on the school’s web site.

We do not track, collect or distribute personal information about site visitors. However, we do collect some information about site visits. We have access to domain names and I.P. addresses of visitors. We compile statistics that show the number of visitors and the number of requests we receive for particular pages or files on the site. These statistics are used internally to evaluate and improve the site. The statistics contain no personal information (or email addresses) and cannot be used to gather such information.

Rochambeau Parents are provided access to specific password-protected areas of our website, which may contain personally identifiable information, such as contact information for other Rochambeau parents or families.

Log Files

The school’s goal is to ensure ease of use and ability to address the needs of the school community through its website. Like most standard website servers, the school’s servers use website statistic packages, such as Google Analytics, to analyze trends in website access and use.

Links

The school’s website contains links to other sites. These links are provided as a courtesy to site users in order to share helpful information. The school is not responsible for the privacy practices of other sites and cannot confirm how other sites may utilize information provided by users of the school’s website.

Security

The school is committed to protecting the personal and confidential information of the users of its website. When users submit personal and/or confidential information via online forms, registration, or online purchase, that information is encrypted via SSL (Secured Sockets Layer) upon submission. Credit card numbers are not stored on any school-owned systems.

SMS Communication Policy

This portion of our privacy policy outlines the guidelines for the use of SMS (Short Message Service) communication between the school and its students, parents/guardians, and staff. The goal is to enhance communication, provide timely updates, and ensure compliance with relevant regulations, including the Telephone Consumer Protection Act (TCPA) and the Campaign Registry (TCR).

Scope: This policy applies to all SMS messages sent by or on behalf of the school, including but not limited to:

  • Alerts and notifications about school closures, delays, or emergencies
  • Reminders about upcoming events, deadlines, or meetings
  • General information and updates about school activities and programs

As an educational institution, we do not use SMS for marketing activities outside of intra-school events and SMS messages are dedicated solely to communication with our community and vendors who provide services to the school.

Opt-In and Opt-Out

The school will store records of SMS messages sent and received, including opt-in/opt-out information, in accordance with applicable data privacy laws and regulations.

  • Opt-In: Parents/guardians and staff must provide explicit consent to receive SMS messages from the school. This consent can be obtained through various methods, such as:
    • Online forms/platforms
    • Digital consent during enrollment or other relevant interactions (Via School Admin, School Messenger, and other intra-school policy collection mechanisms)
  • Opt-Out: Parents/guardians and staff have the right to opt out of receiving SMS messages at any time.
    • Replying "STOP" in all SMS messages.

In case of emergencies, the school may utilize SMS as a primary or secondary notification method.  Emergency notifications may be sent to all students, parents/guardians, and staff, regardless of their opt-in status.

Review and Updates

This policy will be reviewed and updated periodically to ensure compliance with evolving regulations and best practices.

By adhering to this policy and staying informed about relevant regulations, the school can effectively utilize SMS communication while safeguarding the rights and privacy of its stakeholders.
